Smart Records for Information Technology & Software ("SRITS", "we", "us") builds practice-management and education software for clinics and institutions, together with the shared infrastructure that supports our applications — such as our notifications and messaging services. This policy covers that shared infrastructure and SRITS as a company. Each application also has its own detailed privacy policy:
Our notifications infrastructure delivers messages — such as appointment reminders — on behalf of the clinics and organisations that use our products, over channels including WhatsApp, SMS and email. To do this we process:
Message content is generated from pre-approved templates (for example an appointment date and time). We do not use message data for advertising or sell it to anyone.
Messaging is consent-based. Depending on the clinic's configuration, consent is captured either through a disclosure at patient registration or by explicit opt-in recorded by clinic staff. You can withdraw consent at any time:
The clinic or organisation you interact with remains the controller of your healthcare and appointment data; SRITS processes it on their behalf.
On srits.website itself we use the following measurement tools:

WhatsApp or email, so we know which campaign brought you to us.
Nothing is transmitted to us unless you send that message.
Delivery and consent records are retained while the clinic's account remains active, so that opt-outs stay effective and message allowances can be accounted for. When an account is closed, associated messaging records are deleted in the normal course of decommissioning. Application data retention — including healthcare record retention obligations — is described in each application's own policy.
To request deletion of your data from SRITS messaging systems — including delivery records and consent records tied to your phone number — email support@srits.website from the address you can be reached at, stating the phone number concerned.
We will confirm and complete the deletion within 30 days. Note that a record of an opt-out may be retained where needed to guarantee we never message you again, and records the clinic must keep under healthcare regulations are governed by the clinic's own policy — see the relevant application policy above for account-level deletion.
