Terms of Service for E-Z Groups

1. Introduction

Welcome to E-Z Groups, a product of Smart Records for Information Technology & Software ("SRITS", "we", "us", or "our"). These Terms of Service ("Terms") govern your access to and use of the E-Z Groups group-management platform, available on the web, iOS, and Android (collectively, the "Service").

By using the Service, you agree to be bound by these Terms. If you do not agree, please do not use the Service.

2. Description of Service

E-Z Groups is a cloud-based group-management application designed for educational institutions and organizations. It provides:

  • Course / Purpose Management: Creation and configuration of courses (purposes), including settings, restrictions, and access controls.
  • Group Management: Organization of members into groups with assigned supervisors.
  • Membership Management: Assignment of users to courses and groups, with role-based access.
  • Task & Evaluation Workflows: Task creation, grading configurations, submissions, scores, comments, and completion tracking.
  • Collaboration: Coordinated workflows between administrators, supervisors, and members.

The Service is delivered entirely digitally through web browsers and mobile applications. There are no physical goods associated with E-Z Groups.

3. Accounts

3.1 Account Registration

You can create your own account and subscribe directly at ezgroups.app. You must provide accurate registration information and a valid email address, and you must be legally able to enter into these Terms. Organizations may also provision accounts for their administrators, supervisors, and members; in that case your access is managed by your organization's authorized administrators. 3.2 Organization Accounts

Each organization is set up with its own environment in which courses, groups, members, and supervisors are managed. Organizational data is logically separated so that users in one organization cannot access another organization's data.

3.3 User Accounts and Roles

Individual user accounts are created within an organization and assigned one or more roles — typically administrator, supervisor, or member — that determine the user's level of access. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account.

3.4 Administrator Responsibilities

Organization administrators have elevated privileges to manage users, configure courses and groups, and oversee operations within their organization. Administrators are responsible for ensuring that user access is appropriately provisioned and revoked.

3.5 Account Security

The Service supports passwordless passkeys and password sign-in with optional time-based one-time-password (TOTP) multi-factor authentication. You are responsible for keeping your credentials and authentication factors secure. We are not liable for unauthorized access to your account resulting from your failure to maintain their confidentiality.

4. Pricing and Payment

4.1 Subscriptions and Introductory Pricing

E-Z Groups Pro is offered as a subscription, denominated in Jordanian Dinar (JOD). The current introductory pricing starts at:

  • Pro Monthly — from 10 JOD / month, billed monthly.
  • Pro Annual — from 100 JOD / year, billed once per year (our best value).

Pricing for institutions and large cohorts is tailored to the size of the program; contact support@srits.website for institutional pricing. A free trial may be offered to new subscribers before any charge. These are introductory launch prices offered at this early stage of the Service and may increase in the future. Any price change is handled as described in Section 4.4, and existing subscribers are given advance notice. The prices in effect at the time you subscribe or renew are the prices that apply to that billing period, and are shown to you during checkout.

4.2 Payment Processing

Where subscriptions apply, payments are processed through the MEPS (Middle East Payment Services) payment gateway. Subscriptions are purchased and managed through the E-Z Groups website (ezgroups.app). The mobile applications do not offer in-app purchases; they provide access to features according to your organization's active entitlement. By subscribing, you authorize us to charge your designated payment method through MEPS for the applicable subscription fees.

4.3 Billing and Auto-Renewal

Where a subscription is set to renew, it renews automatically at the end of each billing cycle until cancelled. You will be charged at the beginning of each billing period.

4.4 Price Changes

We reserve the right to change our pricing. If we do, existing subscribers will be notified at least 30 days in advance. Price changes take effect at the start of your next billing cycle after the notice period.

5. Introductory / Free Access and Transition to Paid

5.1 Introductory Access

E-Z Groups may be offered during an introductory period at no cost or at a reduced rate. During this period, features may be added, modified, or refined as the Service continues to develop.

5.2 Transition to Paid Service

Upon conclusion of any introductory period, continued use of the Service may require an active paid subscription. You will be notified in advance of the transition date and applicable pricing. If you choose not to subscribe, your access to the Service may be suspended at the end of the introductory period.

6. Cancellation

Where a paid subscription applies, you may cancel at any time by contacting your organization administrator or SRITS support. Upon cancellation:

  • Your access to the Service remains active until the end of the current billing period.
  • No further charges will be made after the current period ends.
  • Your organization's data will be retained for a reasonable period to allow for reactivation or data export, after which it may be deleted in accordance with our data retention policies.

7. Refunds

Refund requests are handled on a case-by-case basis in accordance with applicable law. To request a refund or ask about eligibility, contact support@srits.website.

8. Account and Data Deletion

You can delete your account and associated data yourself, directly in the app. You may also contact support if you are unable to access the app.

How to Delete Your Account or Data

Close your account: from Security Settings → Close my account, which schedules your account for permanent deletion after a 30-day grace period and deactivates the courses you own. You may cancel the request from the same screen at any time during those 30 days to reactivate your account and restore your owned courses. After the grace period, deletion is permanent and cannot be reversed.

Delete your data in a specific course: if you are a member of a course run by an organization administrator, request deletion of your data in that course from Security Settings → Delete my data. The course administrator reviews the request and, if approved, your data in that course is scheduled for deletion.

Alternatively, email support@srits.website with the subject line "E-Z Groups Account Deletion Request", including your account email and full name.

When your account is deleted, your profile (name, email, photo) is anonymized and your memberships, submissions, and grades are erased. We keep a minimal, non-identifying compliance record of the deletion (with no name or email) to demonstrate that we honoured your request and to defend legal claims where permitted. Certain records may also be retained where required by your institution or by law, and anonymized or aggregated data may be retained. Full details are in our Privacy Policy (Section 7.3).

9. Data and Privacy

9.1 Data Isolation

E-Z Groups logically separates each organization's data, and applies role-based access so that administrators, supervisors, and members see only the data appropriate to their role.

9.2 Data Storage

All data is stored securely in the AWS cloud infrastructure, utilizing encryption in transit (TLS/SSL) and at rest, with authentication provided via AWS Cognito. We employ AWS security best practices to protect your data.

9.3 Privacy Policy

Your use of the Service is also governed by our Privacy Policy, which describes how we collect, use, and protect your information.

10. Acceptable Use

You agree to:

  • Use the Service only for its intended purpose of group, membership, task, and evaluation management.
  • Maintain appropriate access controls within your organization to prevent unauthorized access.
  • Handle member and evaluation data responsibly and in compliance with applicable laws and regulations.

You agree not to:

  • Use the Service for any unlawful purpose.
  • Attempt to gain unauthorized access to other organizations' data or system infrastructure.
  • Attempt to reverse-engineer, decompile, or disassemble the software.
  • Share account credentials or allow unauthorized individuals to access the Service.
  • Interfere with or disrupt the Service or its infrastructure.
  • Use the Service to transmit harmful, offensive, or unauthorized content.
  • Circumvent usage limits, security measures, or access restrictions through technical means.

11. Intellectual Property

All rights, title, and interest in the Service, including all software, design, logos, and content, are owned by SRITS. Your access grants you a limited, non-exclusive, non-transferable license to use the Service in accordance with these Terms.

12. Disclaimer of Warranties

The Service is provided "as is" and "as available" without warranties of any kind, whether express or implied. We do not warrant that:

  • The Service will be uninterrupted or error-free.
  • The Service will meet your specific requirements.
  • Any defects will be corrected in a specific timeframe.

13. Limitation of Liability

To the maximum extent permitted by law, SRITS shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service. Our total liability shall not exceed the amount you have paid us in the 12 months preceding the claim.

14. Modifications to Terms

We may update these Terms from time to time. We will notify users of material changes by updating the "Last Updated" date and, for subscribers, by email. Continued use of the Service after changes constitutes acceptance of the updated Terms.

15. Termination

We reserve the right to suspend or terminate your access to the Service if you violate these Terms. Upon termination, your account will be deactivated and you will lose access to the Service. Organization administrators will be notified of account terminations within their organization.

16. Governing Law

These Terms are governed by and construed in accordance with the laws of Jordan. Any disputes shall be resolved in the courts of Amman, Jordan.
